Overflow

Keep your Gravity Forms open after hitting a capacity limit or end date by routing extra submissions into a managed waitlist.

by Gravity Forms Paid Official Updated Aug 4, 2026

What it does

When a form reaches its entry limit or scheduled end date, Gravity Forms normally closes it and turns away anyone who tries to submit. That means you lose interested people with no way to follow up. Overflow changes that by keeping the form open and capturing those extra submissions in a separate Overflow List.

You enable Overflow from the form's existing Restrictions settings, choose whether it activates on the entry limit, the schedule end date, or both, and then configure a custom message for people who land on the waitlist. From the entries screen you can see Confirmed and Overflow entries side by side, promote individuals manually, or bulk-promote multiple entries at once.

It's built for any form where spots are limited: event registrations, class sign-ups, giveaways, application rounds, or post-deadline lead capture. Everything is managed inside Gravity Forms with no external service required.

Key features

  • Keeps forms open after the entry limit or schedule end date is reached
  • Routes extra submissions into a dedicated Overflow List instead of rejecting them
  • Shows a custom confirmation message to overflow submitters
  • Tracks queue positions with {overflow_position} and {overflow_people_ahead} merge tags
  • Auto-promotes the next overflow entry when a confirmed slot opens
  • Lets you manually or bulk-promote overflow entries to Confirmed
  • Adds Confirmed and Overflow List filters to the standard entries screen

Good for

Event registrationsCapture a waitlist when ticket or seat capacity is full so you can fill spots if someone cancels.
Class or cohort sign-upsKeep collecting applicants after a class fills and promote them automatically when a seat opens.
Giveaways and contestsAccept entries past the deadline and maintain an ordered backup list for follow-up.

Written from Gravity Forms’s own listing. Version and dates come straight from the source and are checked weekly.

Does this require a separate service or feed?

No. Overflow builds on Gravity Forms' native Entry Limit and Schedule Form settings and is configured entirely inside form settings.

Can submitters see their position in the waitlist?

Yes. If you enable queue position tracking, you can use the {overflow_position} and {overflow_people_ahead} merge tags in the confirmation message.

How do I move someone from the waitlist to confirmed?

You can manually promote a single entry using the row action in the entries list, bulk-promote multiple entries at once, or let the add-on auto-promote the next person when a confirmed slot opens.

What versions of WordPress and Gravity Forms are required?
