Quote to Invoice with Gravity Flow

Run quotes, approvals, delivery and invoices on your own site: a client requests a quote, approves it by email, and pays the invoice online with Stripe.

Most small service businesses run quotes and invoices through three or four tools: a form, a spreadsheet, an invoicing app and a payment processor. If you already use Gravity Forms and Gravity Flow, you can run the whole thing on your own site, from the first request to the paid invoice.

In this class we build it start to finish. A client asks for a quote, you price it in your Gravity Flow inbox, the client approves it from an email link (no account needed), you deliver the work, and the client gets an invoice with a secure link to pay by card through Stripe. When the payment goes through, the quote is marked Paid automatically.

What you’ll learn

  • How to build one form that holds the request, the quote, the invoice and the delivery, with each part hidden until its step comes up
  • How to send an approval step to a client who doesn’t have a WordPress account
  • How to give every invoice a secure pay link that can’t be guessed or reused
  • Two ways to pre-fill the invoice from the quote: a short plugin we write together, or Populate Anything with no code
  • Why a hidden or read-only price isn’t safe, and how to lock the amount on the server
  • How to take the payment with Stripe Checkout and mark the quote as paid

What you need

This class is written as step-by-step tutorials with screenshots. Both finished forms, the Gravity Flow steps and the plugin are in the Resources tab, so you can import them and follow along.
