Gravity Flow

Turn Gravity Forms submissions into multi-step approval workflows with assignees, branching logic, and an audit trail.

What it does

Managing approvals through email threads and spreadsheets is slow and hard to track. Gravity Flow connects to your Gravity Forms entries and routes them through a defined sequence of steps—approvals, user edits, notifications, webhooks—so nothing falls through the cracks.

You configure each workflow visually using drag-and-drop. Steps can branch based on conditional logic, loop back for revisions, or pause until a scheduled date. Assignees get notified and can act from the front end or the WordPress admin without needing a developer involved.

It fits any process that currently relies on back-and-forth emails: vacation requests, purchase orders, admissions forms, case management, and more. Granular permissions let you control exactly who sees and does what at every stage.

Key features

  • Drag-and-drop workflow builder with approval, user input, notification, webhook, and integration steps
  • Conditional branching and feedback loops so steps can be skipped or repeated based on entry values
  • Assign steps to users, roles, or email addresses—no WordPress account required for assignees
  • Detailed audit trail with timeline, activity log, comments, and timestamps
  • Scheduling to delay a step until a specific date or after a set time period
  • Reports showing charts by form, step, and assignee to spot bottlenecks
  • Field-level permissions controlling who can view or edit specific values

Do assignees need a WordPress account to participate?

No. You can assign steps to email addresses, and those people can participate without a WordPress user account.

Can a workflow branch differently based on form values?

Yes. Conditional logic lets you branch the process, skip steps, or send submissions down different paths depending on entry values.

Is there a way to delay a step until a future date?

Yes. The scheduling feature lets you hold a step until a specific date or until a defined period of time has passed.

Can developers extend or customize it?

Yes. The add-on provides actions, filters, a Workflow Step API for creating new step types, and a Webhook step for sending data to external systems.
