Google Calendar
Connect Gravity Forms to Google Calendar to create events, accept appointment bookings, and manage event registrations from form submissions.
What it does
Managing calendar events manually after every form submission takes time and leads to errors. This official Gravity Forms add-on links your forms directly to Google Calendar so events are created, updated, or cancelled automatically based on what visitors submit.
You set up a feed on any form and choose one of three actions: create a new calendar event, let visitors pick an available appointment slot, or let visitors register for an event already on your calendar. Field mappings and merge tags pull titles, descriptions, locations, dates, times, and guest details straight from the form. Capacity limits, availability rules, buffers, and conflict checks are all configured inside the feed settings.
This add-on suits anyone who books appointments, runs classes or workshops, or organizes events and wants Gravity Forms entries to stay in sync with Google Calendar without copying data by hand.
Key features
- Booking Slot field shows only genuinely available times based on your hours, buffers, and busy periods across multiple calendars
- Calendar Event field lets visitors pick and register for existing Google Calendar events with capacity tracking
- Creates, updates, or cancels Google Calendar events automatically as entries are edited, deleted, or refunded
- Supports timed, all-day, and recurring events built with merge tags for titles, descriptions, and locations
- Adds Google Meet conferencing links and custom email or notification reminders to created events
- Delays event creation until payment is received and works with conditional logic
- Stores event IDs, links, Meet links, and start/end times with each entry for use in confirmations and notifications
Good for
Written from Gravity Forms’s own listing. Version and dates come straight from the source and are checked weekly.
Does it prevent double bookings?
Yes. The add-on re-checks availability when the form is submitted and temporarily holds the slot while the event is being created to reduce the risk of two people booking the same time.
Can I use my existing Google Calendar events for registration?
Yes. The Calendar Event field loads upcoming events from a calendar you choose, tracks registrations in Gravity Forms, and can hide or disable events that are full.
What happens if I edit or delete a Gravity Forms entry?
Editing an entry updates the linked Google Calendar event. Deleting, trashing, or refunding an entry can automatically cancel the event.
How does the add-on connect to Google Calendar?
You connect it using OAuth credentials from your own Google Cloud project, so the integration runs under your Google account.
